The Institute of Chartered Accountants of India (ICAI) is making significant changes in the management of UDINs (Unique Document Identification Numbers). It has been decided to archive UDINs one year after their generation, aiming to reduce the server load. This initiative is being implemented in a phased manner, commencing with the year 2019, followed by subsequent years: 2020, 2021, 2022, and 2023. The archiving provision is effective immediately and offers a solution to streamline the UDIN management process.

1. Archiving to Ease Server Load: The decision to archive UDINs after one year serves a dual purpose. Firstly, it contributes to the efficient management of server resources, reducing the load on ICAI’s servers. This will lead to smoother access to UDIN-related services and data. Secondly, it enhances data organization and retrieval by segregating active UDINs from older records.

2. Phased Implementation: ICAI’s approach to UDIN archiving is systematic and phased. This structured process commences with UDINs generated in 2019. Following this, UDINs from the subsequent years (2020, 2021, 2022, and 2023) will also be archived. 3. Accessing Archived UDINs: Members who wish to access archived UDINs can follow a straightforward process. By logging in to the Members’ portal, they can navigate to the “List UDIN” section and select the desired document generation year. A drop-down menu simplifies the selection of UDIN generation years, making it convenient for users to filter and sort archived UDINs.

4. Immediate Effect: The archiving provision is effective immediately. This means that the phased process is already in motion, starting with UDINs generated in 2019. Members and stakeholders should be aware of these changes and adapt their UDIN-related processes accordingly.

Archiving of UDINs

It has been decided to archive UDINs after one year of their generation to ease off the load on the servers. Implementation of archiving UDINs has been scheduled in the phased manner beginning for the year 2019 in the first phase, followed for the years 2020, 2021, 2022 and 2023, thereafter.

In order to search archived UDINs on the Portal, members are required to follow these steps: Members’ login > List UDIN > Document Generation Year > Select UDIN Generation Year from the drop-down menu in the List > Click Button (Filter & Sort).

The archiving provision comes into force with immediate effect.
