At times, the certified copy of the documents filed with Registrar of Companies (ROC) is required for various purposes such as for legal cases/disputes, financial matters, etc. In this article, we shall discuss the steps through which we can get the certified copy of documents as filed:

Step 1: Log in into Ministry of Corporate Affairs portal i.e. MCA. For this purpose, you shall need a User ID and a Password.

Step 2: Go to “Get Certified Copies” tab under “MCA Services” tab (extremely right, top second). 

Step 3: Type the CIN/name of the Company of which we need the certified copies and select the Company details.

Step 4: Select the document of which certified copy is required and the year in which the same was filed. For this purpose, it is always recommended to verify the document through public inspection and then only proceed further.

Step 5: Select the page nos. range and the number of copies required as certified. 

Step 6: The fee details that is required to be paid shall appear along with the stamp duty. Click “Add to cart”.

Step 7: Now, you can add more documents of which certified copies is required. It is important to note that always add attachments separately as selecting the form alone does not imply that the attachments shall also be certified and accordingly, the request for getting certified copies of the attachments has be made separately.

Step 8: After the documents is selected, click on “View Payment details”.

Step 9: Click on “Make payment”.

Step 10: Make payments through any of the mode i.e. Credit Card/Debit card/Internet Banking/NEFT.

Further, the fees for getting certified copy of the order is as following:

Certificate of Incorporation / Conversion for LLP 50.00 per copy
Any other public document 25.00 per page per document
Any other LLP document 5.00 per page per document
2. Stamp Duty Depends on state to state. For Delhi its Rs. 10/-
3. Court Fee Depends on state to state. For Delhi its Rs. 5/-

For instance, if we need the certified copy of e-Form DIR-12 having 4 pages of Company having jurisdiction with Registrar of Companies, NCT of Delhi and Haryana then, the fees shall be Rs. 115/- (25*4=100+10+5)

In accordance with the MCA General Circular No. 05/2014 dated 28th March 2014, after the application is completely processed; an acknowledgement for stamp duty payment shall be generated separately. The same to be appended to the certified copy of the document by the ROC. Further, the certified copy of the documents requested shall be sent to the stakeholder by the jurisdictional ROC within 15 days by post. The copies would be sent at the address of applicant mentioned in the challan.

    What to do if incorporation certificate is not received via mail neither showing in view public docs. Company has been incorporated master data is showing.
