MCA Streamlines Email ID Update Process for Companies and LLPs on MCA21 Portal (DG)

Summary: The Ministry of Corporate Affairs (MCA) has issued an advisory streamlining the process for updating registered email IDs of companies and LLPs on the MCA21 portal to enhance data accuracy and ensure effective communication. The advisory distinguishes between entities without an existing login and those already registered on the MCA V3 portal. Entities without a login must register as a ‘Business User’ using a unique email ID, which will automatically update in the MCA Master Data without further action. For existing users, a structured process is prescribed involving login, profile update, and email ID change authenticated through OTP verification by two directors or designated partners. Upon successful verification, the updated email ID is reflected in both the entity profile and master data. The MCA emphasized that maintaining an accurate email ID is essential for receiving regulatory communications, notices, and compliance reminders, and advised stakeholders to update details promptly to avoid disruption in correspondence.

For Entities Without an Existing Login (DG)

Companies and LLPs that do not currently have a login on the MCA V3 Portal are required to register under the ‘Business User’ category using a unique email ID. Once registration is successfully completed, the email ID will be automatically reflected in the MCA Master Data Services — eliminating the need for any separate update request. (DG)

For Entities With an Existing Business User Account (DG)

Those already registered on the MCA V3 Portal must follow a specific, multi-step process to update their registered email ID: (DG)

1. Log in to the MCA V3 Portal using the Business User credentials of the Company/LLP.

2. Navigate to the ‘Profile Update’ section.

3. Scroll down and click on the ‘Update Email ID’ option.

4. The request must be authenticated by two Directors or Designated Partners via OTP verification on their registered mobile numbers and email IDs.

5. Upon successful verification, the new email ID will be automatically updated across both the Company/LLP Profile and Master Data Services.

Why This Matters (DG)

An accurate registered email ID is critical for receiving official MCA communications, regulatory notices, and compliance reminders. Stakeholders are strongly encouraged to complete this update at the earliest to avoid any disruption in correspondence. For further updates, follow MCA on their official social media handle MCA21India. (DG).
