1. What is NGO Darpan?

NGO Darpan (meaning ‘Mirror of NGOs’) is an official online portal launched by the Government of India through NITI Aayog and the National Informatics Centre (NIC). Think of it as a digital identity card system for non-profit organisations in India.

Once registered, your organisation receives a unique Darpan ID — a digital identity that proves your NGO is legitimate, verifiable, and government-recognised. Government ministries, banks, donors, and international agencies use this ID to verify your credentials before providing any kind of support, funding, or collaboration.

In simple words: NGO Darpan is the government’s way of saying — “We recognise you. You are trustworthy. You can now access what the government has to offer.”

2. Who Needs to Register?

The following types of organisations are required (or strongly advised) to register on NGO Darpan:

  • NGOs (Non-Governmental Organisations)
  • Voluntary Organisations (VOs)
  • Charitable Trusts
  • Charitable Societies and Associations
  • Section 8 Companies (non-profit companies under Companies Act)
Important: Individual persons cannot register. Only legally registered organisations are eligible. Also, foreign NGOs cannot register — only organisations incorporated under Indian law can apply.

3. Why is NGO Darpan Registration Required?

Many NGOs think of Darpan as optional. It is not — not anymore. Here is why it has become essential:

3.1 To Receive Government Grants

Any NGO or VO applying for funding from central or state government ministries — whether it is the Ministry of Rural Development, Ministry of Women & Child Development, or any other body — must possess a Darpan Unique ID. Without it, the application is simply rejected.

3.2 To Apply for FCRA Registration

If your NGO wants to receive donations from foreign sources (international organisations, foreign individuals, global foundations like UNICEF or Gates Foundation), you need FCRA registration from the Ministry of Home Affairs. And FCRA registration now requires a Darpan ID as a mandatory prerequisite. No Darpan ID = No FCRA = No foreign funding, legally.

3.3 Mandatory for Bank KYC Compliance (PMLA)

This is the most recent and important development. Under the Prevention of Money Laundering Act (PMLA), 2002, the Ministry of Finance has directed all banks and financial institutions to register the details of their NGO/NPO clients on the NGO Darpan portal. The bank is now responsible for ensuring your NGO is on Darpan. Even if you don’t receive government grants or foreign funds, your bank will ask for your Darpan ID to maintain your account.

3.4 To Access FCRA Filing Forms

Even after obtaining FCRA registration, NGOs must periodically file forms and returns on the FCRA portal. Several of these forms are inaccessible without a valid Darpan ID. So the Darpan registration is not a one-time requirement — it supports your ongoing compliance.

3.5 For Credibility, Transparency and Donor Trust

Donors — whether individuals, corporates (CSR), or institutions — use the NGO Darpan portal to verify an NGO’s authenticity before donating. Being listed builds your credibility enormously and increases your chances of attracting both domestic and international funding.

4. What Happens If You Don’t Register?

Not registering on NGO Darpan can have serious consequences:

  • You will be ineligible to receive grants or financial assistance from any central or state government ministry or department.
  • You cannot apply for FCRA registration or renewal, cutting you off from all legal foreign donations.
  • Accepting foreign funds without FCRA can attract a penalty of ₹1,00,000 or 30% of the foreign contribution received — whichever is higher.
  • Your bank may flag your account or restrict operations due to PMLA non-compliance.
  • You become invisible to government agencies and international donors who use Darpan to discover and verify NGOs.
  • Over 19,000 NGOs in India have already lost their FCRA licences — largely due to non-compliance and poor registration hygiene.

Bottom line: An unregistered NGO is an invisible NGO — one that cannot access public funding and risks legal trouble.

5. Documents Required — Complete Checklist

Keep the following documents ready before you begin registration. This is a comprehensive checklist based on the NGO Darpan portal requirements:

1. PAN Card of the NGO

The NGO must hold a valid PAN (Permanent Account Number) issued by the Income Tax Department. The name on the PAN card must exactly match the name on the NGO’s registration certificate.

2. Registration Certificate of the NGO

A scanned copy of the registration certificate proving legal status. Accepted certificates include those issued under:

  • Societies Registration Act, 1860
  • Indian Trusts Act, 1882
  • Companies Act, 2013 — Section 8 Company
  • Any other relevant state or central legislation

3. Details of Chief Functionary & Office Bearers (Minimum 3)

Provide the following details for at least 3 key office bearers (President, Secretary, Treasurer, or Director):

  • Full Name
  • Designation (e.g. President / Secretary / Treasurer)
  • Date of Birth
  • Aadhaar Number (Mandatory)
  • PAN Number
  • Email ID and Mobile Number

Note: Aadhaar is mandatory for each functionary listed.

4. Aadhaar Cards of Office Bearers

Aadhaar details of at least 3 key functionaries (President, Secretary, Treasurer). These are used for identity verification and help speed up the approval process.

5. Address Proof of the NGO’s Registered Office

Any one of the following documents showing the NGO’s registered office address:

  • Electricity Bill
  • Telephone / Broadband Bill
  • Rent Agreement (if applicable)
  • Registered Office Lease Agreement
  • Any other official document bearing the NGO’s registered address

6. Bank Account Details of the NGO

The NGO must have a bank account registered in its name. The following details are required:

  • Name of the Bank
  • Branch Name and Address
  • Account Number
  • IFSC Code
  • Cancelled cheque or recent bank statement

 

7. Annual Reports & Audited Financial Statements

To establish credibility, the government may require the NGO’s latest financial records:

  • Annual Report (latest available)
  • Audited Financial Statements — Income & Expenditure Account
  • Balance Sheet

8. Declaration & Authorization Letter

A declaration letter signed and attested by the Chief Functionary confirming that all information and documents submitted are true and correct. An authorization letter granting permission to register the NGO on the portal may also be required.

6. Registration Process — Step by Step

The entire process is online. Visit ngodarpan.gov.in and follow these steps:

1. Step 1 — Go to the PortalVisit ngodarpan.gov.in. Click on ‘Login/Register’ on the homepage.

2. Step 2 — Sign UpClick on ‘Sign Up’. Enter your NGO’s name, registered mobile number, and email address. Click Submit.

3. Step 3 — OTP VerificationEnter the contact person’s name, mobile number and email. An OTP will be sent to your mobile — enter it and click Submit.

4. Step 4 — Enter PAN DetailsEnter the PAN number of your NGO/organisation.

5. Step 5 — Create Password & LoginSet a password and log in to your NGO Darpan account.

6. Step 6 — Fill NGO ProfileEnter complete details: NGO name, PAN, registered address, email, the authority under which you are registered (e.g., Trust Act, Societies Act), registration number, registration validity date, and FCRA details if applicable. Save.

7.Step 7 — Add Member DetailsEnter the name, date of birth, designation, mobile number and Aadhaar number of at least 3 executive committee members. Save.

8. Step 8 — Add Operational DetailsProvide information about your sources of funds, key contact details, and geographic areas of work. Save. Your profile will show ‘100% complete’ once all fields are filled.

9. Step 9 — Wait for VerificationThe NGO Darpan administrator reviews your submitted details and documents. You will receive an email notification once verification is complete.

10. Step 10 — Generate Your Unique IDLog back into the portal after receiving the confirmation email and generate your official Unique Identification Number (UIN/Darpan ID). This is your organisation’s verified digital identity.
